Privacy Statement

Legal foundation

The Working Committee of the Surveying Authorities of the Laender of the Federal Republic of Germany (AdV) provides telemedia in the sense of the Telemedia Act (TGM). The AdV subjects to the provisions of the current applicable version of the TMG. Additionally the provisions of the European General Data Protection Regulation (EUDataP) and the Federal Data Protection Act (Bundesdatenschutzgesetz, BDSG) apply.

Storage of customer data

It is at your own discretion whether you submit your personal data to us, for example, by using our contact form or contacting us via email. Your data will be electronically stored on protected servers in Germany and will be processed in accordance with the Federal Data Protection Act. Only a small number of authorised people, which are in charge of the technical support, have access to these servers.

Contact form

On our website we use a contact form from the provider Survey Monkeys (the product Wufoo). With our contact form, we only collect the personal information that is necessary for the purpose associated with the contact form. If you send us inquiries using the contact form, your details from the inquiry form, including the contact details you provided there, will be stored for the purpose of processing the request and in case of follow-up questions. We do not pass this data on to external bodies outside AdV without your consent. You can view the privacy policy of the form provider here.

Data Protection

Data is the foundation that allows us to offer an excellent service. Our most important asset however is the trust of our customers. It is our highest priority to protect the customer data provided and to only use it in a way our customers expect us to. We therefore make sure that all data protection provisions are being fulfilled. Furthermore it is important to us that you are always aware as to when we store certain data and how we use it. Your visit to our website is recorded in our log files. With each request for internet data the following access data is saved only temporarily:

  • IP address
  • type and version of your internet browser
  • used operating system
  • the requested page
  • the previously accessed page (referrer URL)
  • time of the server request

Stored data will be used for

  • statistical purposes
  • the execution of contractual relations
  • the optimisation and security of your internet services and presence
  • the reception of messages (e.g. via email)

We will not use your data for direct marketing or profiling purposes.

In case of email requests, information will only be used in order to process the requests received. No email addresses will be forwarded to any third party or used by us in any other way.

In case you are using the contact form to communicate with us, details such as your first and last name, as well as your email address, are required. We are unable to handle your request without this data. Your postal address is completely optional and enables us, if you so desire, to handle your inquiry via postal mail. We hereby inform you, that processing the data communicated via contact form and its content (which may contain personal data submitted from you) will be used on the basis of article 6(1) DATAP in connection with §3 BDSG for the sole purpose of handling your request.

Personal data will be deleted as soon as it is no longer required for the purposes mentioned above. We will however store your personal related data in cases where we are legally obliged to do so.

Ensuring data secrecy

The persons charged with the processing of personal data, as well as employees of companies commissioned by AdV, are obliged to maintain data secrecy. All the necessary technical and organisational measures have been taken to ensure that all the provisions concerning data protection will also be met by our external service providers. It is therefore not possible to forward personal data to third parties.

Encryption

Please be aware that your messages communicated to us by email are not automatically encrypted. This is why we would like to inform you, that without encryption it cannot completely be ruled out that unauthorised parties might learn about the content of the conveyed massage. In those cases where we deduce from your email that you wish an answer, the emailed reply will also be unencrypted. We will encrypt our response, however, whenever the content of our response requires encryption.

The right to information, correction, blocking, deletion and revocation of consent

You are entitled to obtain information about your stored personal data at any time. Furthermore you have the right to have your personal data corrected, blocked or deleted. Please contact us if you wish us to take any of these actions. The contact details are listed below.

To ensure that the blocking of certain data is always taken into consideration, this data must be kept in a lock file for control purposes. You may also request the deletion of the data as long as no legal archiving obligations are in place. In case of such obligations we will block your data upon request. It is also possible to make changes or revoke consent to future applications by sending us an appropriate request.

Changes in data protection provisions

We regularly adjust our privacy statement in order to comply with the current circumstances as well as current legal requirements or in order to implement changes of our scope of services in our privacy statement, e.g. the implementation of new services. We therefore kindly ask you to please pay attention to the latest version of our privacy statement.
